ESSENTIAL SKILLS AND ABILITIES

Ability to respond to common inquiries or complaints from vendors, parents, regulatory agencies, or members of the business community
Ability to work with mathematical concepts such as fractions, percentages, ratios, and proportions to practical situations
Ability to define problems, collect data, establish facts, and draw valid conclusions
Ability to work independently
Ability to follow internal procedures to ensure internal controls are properly maintained


ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

Secure substitute teachers
Maintain calendar of all employees out of the building to ensure proper coverage of all classes
Generate and process Work Orders from Request Forms
Maintain Work Order Spreadsheet of all Work Orders requested and completed
Sort and date stamp all incoming mail and distribute to appropriate staff members’ mailboxes
Place orders online for all office supplies
Distribute office supplies to employees as requested on Employee Office Supply Request Forms
Process all field trip requests; ensuring approval by Principal, purchase order complete for buses, substitute teachers assigned, meal requests are made, and attendance list is sent to registrar
Regular and dependable attendance




PRINCIPAL DUTIES:

Maintain Employee Calling Tree and work with the Principal to inform all employees in the event of school cancellation
Process and seek approval for all fundraiser forms
Type letters, reports, and forms as requested
Make phone calls as needed
Process all Fundraiser Request Forms for approval; notify sponsor of status; publish fundraiser in weekly bulletin
Maintain calendar of employee birthdays; obtain administration signature on birthday cards; distribute birthday cards and gift in employee’s mailboxes
Produce weekly bulletin for distribution to all staff by Monday morning indicating Hogan events and happenings for that week
Project assistance as requested
Other duties as needed/assigned


SUBSTITUTE COORDINATOR:

Receive calls on a daily basis by teachers/staff that are unable to come to school and contact substitute teachers as needed
Oversee Substitute teachers while they are in the building to ensure they have the lesson plans and attendance sheets needed to fill in for missing teacher
Inform teachers as needed to ensure there is an Emergency Lesson Plans in the event needed by a substitute
Collect and process time sheets for substitute teachers
Schedule teachers to cover for other teachers in emergencies
Other duties as necessary




TEXTBOOK COORDINATOR:

Coordinate the review and purchase of all textbooks needed at Hogan for the designated grade for replacement and the purchase of books for new courses being offered at Hogan
Process incoming Purchase Orders for textbooks from teachers
Research online for best prices on books needed
Receive book orders and verify receipt against Purchase Order and packing slip
Distribute new books to appropriate teachers
Arrange for the sale of old books no longer needed
Other duties as needed/assigned
Requirements
QUALIFICATIONS

To perform this job successfully, an individual must:

High School Diploma or GED preferred
Three years administrative experience and/or training. College may be substituted for experience
Ability to pass extensive background check
Excellent verbal and written communication skills
Strong PC skills including Microsoft Word and Excel, including creation of formulas
Self-starter with ability to handle multiple tasks with frequent interruptions
Ability to maintain confidentiality regarding staff and students
